U.S. Dept. of State, Bureau for International Narcotics and Law Enforcement (INL) Enterprise Records Management

Summary of work performed: 

iDoxSolutions, the prime contractor, is providing a comprehensive technology platform that allows users to create, collaborate, transfer and manage information and processes securely and efficiently across the bureau. We have established a 5015.2 compliant Enterprise Records Management System (ERM) that is becoming part of a Department of State Enterprise Content Management (ECM) System. The ERM solution is based on the OpenText product suite and includes OpenText Content Manager, OT Records Manager, Application Governance and Archiving, Web Reports and File System Archiving modules. We are leveraging the INL investment in SharePoint, centralizing the document repository, adding records governance, and creating management dashboards, 

Results: 

The ERM solution has increased productivity by 20% by consolidating all information in one repository and with the introduction of new structured and ad hoc workflows. The system assures that all documents and emails have records management retention designations assigned without user intervention; thereby improving compliance and reducing administrative impact.  


U.S. Dept. of Homeland Security, Federal Emergency Management Agency (FEMA)

Summary of work performed: 

In June of 2016, iDoxSolutions completed a “Phase 1” of a program which provided the creation of a comprehensive electronic records management system for FEMA Region 2 (New York area).  The FEMA Enterprise Records Management System, FERMS, provides the ability to electronically manage all electronic record content that resides in email, desktop documents, SharePoint and Share drives.  The FERMS solution is based on the OpenText product suite. FERMS is a major step for the agency; enabling them to govern all documents created within the organization.  It allows the management of all document content to be done electronically, fulfilling the electronic records management mandate issued by OMB (M-12-18).   

Results: 

FERMS increases FEMA’s operational efficiency. FERMS also provides better visibility for managers to the agencies day-to-day operations especially around FOIA and any litigation hold activity. 


DLA Air Force Review Board Agency (AFRBA)

Summary of work performed: 

The Air Force Review Board Agency (AFRBA) had a requirement to automate 12 claims workflow processes. AFRBA required an OpenText partner to assist them in the application implementation. iDoxSolutions was selected to design, develop, deliver and support the solution which used Content Server and Cordys BPM (Process Suite). The solution called Case Management Tracking, Analysis and Reporting System (CMTARS) includes the conversion from a database tracking system, migration of the data and documents to the new OpenText based Content Server, the redesign of the 12 workflows and the automation of business rules for multiple AFRBA business processes.

Results: 

The CMTARS solution saves end users time in processing claims; increases the customer satisfaction level for AFRBA as claimants get their claim questions answered accurately and usually in one call/inquiry; and there are metrics available to managers to assist in performance measurement.
